Staff roles and permissions
Waya controls staff access with seven permission keys. Cashier and Branch Manager are seeded roles; owners can also build custom roles.
Every staff account is built from a set of permission keys that control what they can see and do.
The permission keys
| Key | What it controls |
|---|---|
| view_dashboard | The Home tab and top-line stats |
| view_customers | The Customers and Insights tabs |
| notifications | The Notifications tab — broadcasts, triggers, geofence |
| campaigns | The Campaigns tab — wizard, scheduled sends, gift cards |
| add_points | Adding a stamp, points, or credit on the Scan tab |
| deduct_points | Removing points on the Scan tab |
| designer | The Designer tab, for editing card design |
Seeded roles
| Role | Permissions |
|---|---|
| Cashier | add_points, deduct_points |
| Branch Manager | Everything except campaigns |
An owner can also build a custom role with any combination of the seven keys, for staff who need something in between.
What happens on login
A staff member who can use the Scan tab is sent straight there on login. If not, they land on the first available tab among Home, Insights, Notifications, Campaigns, and Designer — and if none of those permissions are granted, they land on the how-to guide instead.
How many staff you can invite is tied to your plan — see Plans & limits: owner only on Free, up to 5 staff on Growth, and unlimited on Premium.

Frequently asked questions
Can I create a role that's different from Cashier or Branch Manager?
Yes. Owners can build a custom role by choosing any combination of the seven permission keys.
Does the account owner need a role?
No — the owner has full access to every tab and action by default; roles apply to staff sub-accounts.
What happens when a staff member's role changes after they're set up?
Their permissions update immediately when their role changes, and the new tabs appear the next time they sign in.
