Staff Roles

What staff roles should a barbershop set up for a loyalty program?

Waya gives barbershops two staff roles — Cashier and Branch Manager — with different permissions for scanning, refunds, and running campaigns.

Cashier for every chair, Branch Manager for the shop lead

A barbershop loyalty program needs exactly two staff roles set up correctly: Cashier for every barber who scans and stamps cards, and Branch Manager for the person running the shop day to day. Give the Cashier role to every chair, not just one barber, so scanning never bottlenecks at a single till while others wait — that bottleneck is a big reason why some shops struggle with getting barbers to scan every visit in the first place.

Branch Manager can do everything a Cashier can, plus everything else except running campaigns — that one carve-out matters because campaign sends draw from the shared message balance and can reach every enrolled customer, so it's kept to whoever owns the shop's messaging strategy, typically the owner rather than a shift lead.

What each role can and can't do

The permission split is simple by design, so a new barber can be onboarded in minutes rather than needing a training session on the dashboard.

Setting up staff in five steps

New staff should be added the same day they start scanning, so the habit forms from their first shift rather than being retrofitted later.

  1. Open the staff accounts screen

Every plan above Free supports multiple staff accounts, up to 5 on Growth and unlimited on Premium.

  2. Add each barber as Cashier

This gives them scanning and stamping access without exposing campaign controls.

  3. Add the shop lead as Branch Manager

One person per branch typically holds this role, usually the owner or a senior barber.

  4. Confirm access on a real phone

Have each barber log in and scan a test card before their first real client.

  5. Review staff access after any turnover

Remove a departing barber's access immediately rather than leaving an unused account active.

Why every chair should be Cashier, not just one

The most common staff-role mistake in a busy barbershop is giving only the till operator Cashier access and leaving every other barber unable to scan. That forces every client to route through one person at checkout, which is exactly the bottleneck you're trying to avoid during a Friday or Eid rush, when every chair is full and nobody wants to wait extra minutes for a single scan point.

Give every working chair Cashier access from day one. It costs nothing extra — staff accounts up to the plan's limit don't have a per-seat fee — and it means scanning happens right at the chair, mirror-side, the moment the cut is done.

  • Every chair barber: Cashier — scan, stamp, add or deduct points
  • Shop lead or owner: Branch Manager — everything except campaigns
  • Multi-branch chains: one Branch Manager per branch, Cashier per chair at each location
  • Remove access immediately when a barber leaves, rather than at the next review cycle

Staff limits by plan

Staff account limits scale with the plan: Free doesn't support additional staff accounts at all, since it's built for the smallest single-operator setups, Growth supports up to 5, and Premium is unlimited — relevant for a barbershop chain with several branches and a full roster of barbers.

If a single-chair shop on Free grows to add a second chair and a second barber, that's usually the moment to move to Growth, both for the staff account and for the extra branch and message headroom that comes with it — see adding a second and third branch for how that growth path plays out.

What staff roles don't control

Neither role touches a till or POS system, because Waya has no POS or till integration at all — a Cashier's scanning action is entirely manual, done on an ordinary phone through the web dashboard or the iOS merchant app. Note that the Android merchant app is currently in closed testing, so an Android-using barber should use the web dashboard rather than expect a native app.

Staff roles also don't affect messaging channels — there's no SMS option for either role to send from, only wallet lock-screen pushes, which are handled through triggers and campaigns rather than anything a Cashier or Branch Manager sends manually per customer.

Frequently asked questions

What's the difference between Cashier and Branch Manager?

Cashier can scan cards and add or deduct stamps and points. Branch Manager can do everything a Cashier can, plus dashboard reporting, minus running campaigns, which stays owner-level.

Should every barber have Cashier access?

Yes. Giving Cashier access to only one till operator creates a bottleneck during busy shifts — every chair should be able to scan and stamp independently.

How many staff accounts does the Free plan support?

None — additional staff accounts start on Growth (up to 5) and go unlimited on Premium, which fits chains with several branches and a full barber roster.

Can a Cashier send a promotional message to customers?

No — running campaigns is reserved for owner-level access under Branch Manager and above, since a campaign draws from the shared message balance and can reach every enrolled customer.

Do staff roles interact with the till or register?

No. Waya has no POS or till integration, so both roles operate entirely through manual scanning on a phone — there's nothing to configure on the register itself.
